The Remove From Workflow action allows you to automatically remove contacts from one or multiple workflows. This guide will walk you through setting up this action in your workflow for better contact management and cleaner campaign execution.

Step-by-Step Guide to Setting Up the Remove From Workflow Action

Step 1: Create or Edit a Workflow

  • Begin by either starting a new workflow or editing an existing one.

Step 2: Set Up Workflow Trigger(s)

  • Configure the workflow trigger(s) that will initiate the Remove From Workflow action. You can refer to our articles on various workflow triggers for detailed setup instructions.

Pro Tip: You can set any trigger for the Remove From Workflow action or leave it untriggered to run manually.

Step 3: Configure the Remove From Workflow Action

  • Click on the “+” symbol below your trigger to add an action.

  • From the Internal Tools section of the Actions Menu, select Remove From Workflow or use the search feature to find it quickly.

  • Upon selecting, the action setup menu will appear.

(Optional) You can rename the action in the workflow builder using the Action Name textbox. This only changes the display name within the builder and doesn’t affect the functionality.

Choose from the following removal options:

  • Current Workflow: Remove the contact from the workflow they are currently in.

  • Another Workflow: Specify a different workflow to remove the contact from.

  • All Except Current Workflow: Remove the contact from all workflows except the current one.

  • All Workflows: Remove the contact from all active workflows.

Once configured, press Save in the action setup menu.

Step 4: Save and Publish the Workflow

  • After setting up your action, press Save in the top-right corner of your browser to save the workflow.

  • If the workflow is ready to go live, toggle the switch under Save to Publish.

Step 5: Test the Workflow

Before activating your workflow, use the Test Workflow button next to the Publish toggle to ensure everything is functioning correctly. For more information on testing workflows, check out our article, "Using the Testing Features in Workflows."

Now, your workflow is fully set up and ready to run with the Remove From Workflow action!

Example: Marketing Campaign Cleanup

Scenario: A business wants to remove contacts from a marketing campaign workflow once they complete a specific action, like making a purchase, to avoid sending redundant emails.

Action Setup:

  • Action: Remove From Workflow

  • Name: Remove from Marketing Campaign

  • Workflow Selection: Another Workflow

  • Specified Workflow: Ongoing Marketing Campaign (e.g., New Workflow: 1701182462789)

Workflow Actions:

  • Trigger: Contact completes a purchase or subscribes to a service.

  • Action: Automatically remove the contact from the marketing campaign workflow, stopping promotional emails.

Outcome: This setup ensures contacts are not overwhelmed with unnecessary emails after completing a desired action, improving customer satisfaction and engagement.

Execution Logs for Workflow Removal

If a contact is not part of the workflow they’re meant to be removed from, this is reflected in the execution logs, showing the action as skipped. This feature helps maintain accurate records of workflow removals.
