Managing Contacts in Workflow Steps

This guide walks you through how to move or remove contacts from specific steps in your workflows. This can be helpful if contacts were mistakenly added or if you’d like to move them forward or out of the workflow.

Step 1: Access Your Workflow

Start by selecting the workflow containing the contacts you wish to manage.

Option 1: Managing Contacts Directly in Workflow Steps

For any step that has contacts, you’ll see a small user icon at the top. Clicking this icon will show all contacts currently in that step.

  • Select Contact(s): Once clicked, the contacts currently in the step will be displayed.

  • Trash Can Icon: Removes the selected contact(s) from the workflow entirely.

  • Running Man Icon: Moves the selected contact(s) to the next step of the workflow.

Note: These actions apply to all contacts within the selected step, not just individual ones.

Option 2: Managing Contacts from the Enrollment History

If you wish to manage a specific contact, use the Enrollment History tab at the top of the workflow builder. This tab provides a detailed list of all contacts in the workflow and shows which step they are currently in.

  • Delete Contact: Click the delete button next to the contact's name to remove them from the workflow.

  • Move to Next Step: Use this button to advance the contact to the next step.

Q1: Can I remove one contact from a step without affecting others?
Yes, use the Enrollment History tab to remove or move individual contacts without impacting others.

Q2: What happens when I click the Trash Can or Running Man icons?
Clicking the Trash Can icon will remove all contacts in that step from the workflow. The Running Man icon will move all contacts in the step to the next step.

Q3: Is there a way to see all contacts and their workflow progress?
Yes, the Enrollment History tab provides a comprehensive list of all contacts and the workflow step they’re in, giving you control over their movement or removal.

Q4: Can I undo a removal?
No, once a contact is removed from the workflow or a specific step, the action cannot be undone. You would need to re-enroll the contact manually if needed.
