When managing workflows, it's essential to track and understand their behavior for individual contacts. The Status and History tabs within the Workflow Builder provide the necessary information to do this.
How to View Workflow Status and History
Access the Execution Logs
Within the Workflow Builder, navigate to the Execution Logs tab.
This area displays critical information, including:
Contact: The individual currently in the workflow.
Action: The specific task or step they are on.
Status: The current status of the action.
Executed On: The date and time when the action was last executed.
More Details: Additional event details for further insights or troubleshooting.
Execution History: A log of all actions taken for the specific contact within this workflow.
Using Filters
Use the dropdown menus to sort and filter through current statuses, contacts, or specific actions.
These menus allow you to quickly view:
Contacts: Full history of actions for a contact, including multiple instances if they've been in the workflow more than once.
Action: The current step or task for the contact.
Executed On: The last executed date and time.
Status: Whether the action was successful, pending, or failed.
View Details: Click for further information or to troubleshoot issues.
Execution History: View the contact's complete journey within the workflow, including all actions taken and when they occurred.
View Contact History
When viewing Contact History, you will be able to track all actions a contact has taken within a workflow.
For contacts added more than once, there’s an icon next to their name that you can click to view their complete history in the workflow.
More Details for Troubleshooting
The More Details section often provides deeper information about the workflow action, which is useful for troubleshooting or understanding why certain actions occurred (or didn’t).
Enrollment History
Navigate to the Enrollment History tab to review:
Contacts: Displays the name, email, or phone number of the contact.
You can hover over the name to reveal this information or jump directly to the contact’s profile.
Action: The current or last action the contact is on.
Next Execution On: The time and date for the next scheduled action.
Execution History: Complete history for the contact within the workflow, giving you a thorough view of their interactions and the actions performed.
By leveraging both the Execution Logs and Enrollment History tabs, you can gain complete visibility into the actions and status of contacts within your workflows, allowing for better management and troubleshooting.
