When sending SMS messages, some may fail to reach your contacts. Tracking these failed SMS contacts can be important, especially if you need to follow up through a call or email to confirm their mobile number for future SMS communications. With Advisor's Growth, you can create a Smart List to track contacts with failed SMS messages and use a Workflow to keep this list updated in real-time.

Here’s how you can set it up:

Step 1: Create a Smart List Based on a “Failed SMS” Tag

  1. Go to Contacts > Contacts/Smart Lists.

  1. Select More Filters.

  1. Choose Tag, then set the condition to “Is” and select the tag for failed SMS.
Note: You can use an existing tag or create a new one, like "Failed SMS."

  1. Click Apply to save your filter.

  2. At the bottom of the window, click Save as Smart List to make it a permanent list. You can edit or delete this list later if needed.

Step 2: Create a Workflow to Automatically Tag Failed SMS Contacts

  1. Open the Workflow Builder and create a new workflow.

  1. Set a trigger for Number Validation.

  1. Filter by Error Is, and choose SMS Incapable.

  1. Save the trigger.

  2. Add an action by clicking the + icon and selecting Add Contact Tag.

  3. Enter the name of the tag created in Step 1 (e.g., "Failed SMS").

  4. Save the action, then save and publish the workflow.

Once this workflow is active, it will automatically tag contacts when an SMS fails due to an invalid or incapable number. These contacts will be added to your saved Smart List, giving you real-time tracking of SMS failures. You can then review the list and decide if you want to manually resolve these issues or create another workflow to send follow-up communications (like an email or a call).

FAQs

Q1: Can I use an existing tag for the Smart List, or should I create a new one?
You can use either an existing tag or create a new one specifically for failed SMS, such as "Failed SMS." The tag is used to filter contacts and track those who have SMS failures.

Q2: What trigger should I use in the workflow to track failed SMS contacts?
Use the Number Validation trigger and set the filter to Error Is: SMS Incapable. This identifies contacts whose numbers cannot receive SMS and applies the tag accordingly.

Q3: How does the Smart List update in real time?
The Smart List automatically updates as the workflow applies the tag to contacts with failed SMS. The list reflects real-time changes based on the tag you’ve set up.

Q4: Can I set up additional workflows for follow-up actions?
Yes, you can create other workflows to automate follow-up actions, such as making a call or sending an email to contacts in the Smart List. This ensures you can take further steps to verify their information or offer alternative ways to communicate.
