The calendar settings interface is designed to streamline user availability and connect seamlessly with tools like Google Calendars, Google Ads, Outlook, Zoom, and Stripe. These settings are particularly relevant when managing Group Calendars, where user availability and primary calendar connections need careful consideration.

Additionally, some of these configurations apply to Unassigned Calendars, and the week view displayed in the calendar can be adjusted from this settings panel. This guide will walk you through the key settings and concepts for using Group Calendars effectively.

Note: Group calendars are also referred to as round-robin calendars.

Flexible Reordering of Booking Widget Steps

You now have the flexibility to reorder steps within your booking widget, offering greater control over the booking process. This feature is especially beneficial for businesses that need to gather lead information even when an appointment isn't confirmed or if payment processing fails. The Calendar Widget allows you to customize the order of the Date & Time Selector and Form steps, while the Payment step remains fixed as the final step.

To reorder booking steps:

  1. Go to Calendar Settings.

  2. Select your calendar.

  3. Navigate to Forms & Payments.

  4. Rearrange the steps as needed and save your changes.

Calendar Descriptions with Rich Text Editor

The rich text editor enables you to create more engaging and visually appealing calendar descriptions using various formatting options. To access this feature:

  1. Go to Calendar Settings.

  2. Select your calendar.

  3. Navigate to Meeting Details.

  4. Use the editor options to format your description and save your changes.

How to Create a Group Calendar

To set up a group calendar, you first need to create a group:

  1. In the group column, find existing group names next to a folder icon, indicating they are group calendars.

  2. You can view all groups under the Groups tab.

  3. Provide the group name, description, and template (choose either the Classic or Neo template for the group view), and set the group URL.

Within the Groups tab, you can rearrange the display order of calendars by clicking on the menu dots and selecting "Rearrange Calendars." The group settings tab also offers keyword search functionality.

Action Dropdown Menu Options:

  • Edit Group

  • Copy the group’s embed code, which displays a page with the group name and description.

  • Copy the link that shows a page with the group name and description.

  • Copy the scheduling link for meetings.

  • Copy the scheduling link (legacy deprecated).

  • Rearrange Calendars.

  • Deactivate calendars within the group.

  • Delete Group.

Calendar Group Deletion Enhancement

When deleting a group, you can choose to either retain all calendars and their appointments or delete the group along with all associated calendars and appointments. This feature provides greater flexibility when managing calendar data.

How to Delete a Group Calendar:

  1. Go to Calendar Settings > Calendars.

  2. Navigate to the Groups tab.

  3. Click on the three dots next to the group you wish to delete.

  4. Select Delete.

  5. In the pop-up window, check the box if you want to delete the calendars as well. Leave it unchecked to retain the calendars and appointments.

  6. Click Confirm.

You can search the calendar settings tab with keywords and apply filters for easier navigation.

Action Dropdown Menu Options:

  • Edit calendar settings.

  • Duplicate the selected calendar.

  • Share the selected calendar.

  • Deactivate the selected calendar.

  • Move the group calendar to another group.

  • Delete Group.

Note: If the "Move to group" option is unavailable, the calendar is either unassigned or an event calendar.

How to Create a Group Calendar

  1. Click the Create Calendar button.

  2. Select the Round Robin Booking type.

  3. Choose Group.

For advanced settings, skip the quick setup menu and add a group in the Meeting Details tab. If you need to add a group after creation, use the main menu dots to access additional options, such as moving the calendar to a group or editing the calendar and selecting the group from the Meeting Details area.

Account Preferences and User Preferences

Account Preferences:

  • Change the start day of the week in the calendar view.

  • Adjust the booking widget’s language and time format.

  • Set the start day of the week for the booking widget.

User Preferences:

  • Customize meeting locations (e.g., Zoom, phone, full address, Google Meet).

  • Integrate third-party tools to streamline scheduling and communication.

Connections Tab Overview

The Connections tab includes:

  1. Calendars:

    • Connect third-party calendars to sync availability, manage appointments, and prevent double bookings.

  2. Video Conferencing:

    • Automatically generate unique meeting links and share them when scheduling an appointment.

  3. Google Organic Booking:

    • Enable clients to book services directly from your Google My Business (GMB) listing without relying on third-party booking platforms or paid ads. Note that changes may take 24 to 48 hours to reflect on your GMB profile.

  4. Local Service Ads:

    • Advertise on Google and receive leads through phone calls or messages from Local Services ads. Ensure your business details in Settings > Business Profile match those in your Local Services Ads account.

Note: Reserve with Google is currently available only in the United States and supports Home Services, Legal, and Real Estate niches.

Managing User Availability

User availability is crucial for group calendars. Advisor's Growth checks user availability within the group before displaying appointment options on the booking widget. Additionally, users can set their time zone and add multiple availability timeframes. For convenience, the Monday availability settings can be copied across all days.
