Understanding Recurring Appointments in Your Calendar
This guide will walk you through the setup and management of recurring appointments in your calendar system. All calendar types support recurring appointments, but if you choose a round-robin setup, it must be limited to a single user or team member.
Enabling Recurring Appointments
Once recurring appointments are toggled on, the settings will appear, allowing you to customize them based on your scheduling needs.
What Does the "If Slots Are Not Available" Setting Do?
This feature determines how the system handles booking when an intended slot is already occupied. Here are the available options:
Continue Booking: This option will double-book the time slot.
Skip Booking Unavailable Slot: This setting only books available slots and ignores those that are occupied.
Book Next Available Slot: This option searches for the next available slot within a certain range and books the recurring appointments accordingly.
Note: The system checks the next three available slots. If none are found, it will cancel the booking. If available, the booking continues for all recurrences.
Will Pre-existing Triggers Work for Recurring Appointments?
No, they won’t. New filters have been added to appointment triggers specifically for recurring appointments.
New Filters and Their Usage
To manage triggers for different appointment types, we’ve introduced a new Event Type filter. This filter lets you specify whether triggers apply to recurring appointments, non-recurring appointments, or both.
Here’s how the filters work:
Event Type: Normal: This applies to non-recurring appointments. All existing appointments will be classified under this category, ensuring they continue to function as before.
Event Type: Recurring: This applies exclusively to appointments created with recurring settings.
Event Type: Any: This triggers for all appointment types, whether recurring or not.
Important Updates and Considerations
The Customer Booked Appointment Trigger is being deprecated. Please use the Appointment Status Trigger instead.
Created By Filter:
Customer: This behaves like the former customer-booked trigger, firing only when appointments are booked via the customer widget.
User: This applies to appointments booked manually by users within the system or from external sources other than the customer widget.
Additional Notes for Recurring Appointments
Bulk updates, such as canceling or rescheduling multiple appointments at once, are not allowed for recurring bookings.
When selecting the booking option (continue, skip, or book next), be cautious, as it affects all future appointments.
If your meeting location is Zoom or Google Meet, each recurring appointment will have a unique meeting URL.
If sync is enabled, each recurring event will sync as individual events with third-party calendars.
Recurring appointments can only be booked using standard time slots. Custom slots do not support recurring bookings.
Users cannot book recurring appointments from the Opportunities page. While recurring calendars appear in the dropdown, they can only be used for single-time slots in this context.
