How to Create and Edit Calendars in Advisor's Growth

Efficient appointment management is key to both personal and professional success. Advisor's Growth offers a robust suite of calendar features that help you design, customize, and maintain your schedule with ease. This guide will walk you through creating and editing calendars to optimize your time and resources.

Types of Calendars in Advisor's Growth

  1. Simple (Unassigned/Event Calendar): Ideal for general events without specific assigned participants.

  2. Round Robin (Group Calendar): Balances appointment distribution evenly across team members for optimized availability.

  3. Class Booking: Best suited for single-session classes, workshops, or seminars.

  4. Collective Booking: Designed for events requiring multiple team members' presence.

Creating a Calendar

Follow these steps to create a new calendar:

Step 1: Access Calendar Setup

  • Navigate to Settings > Calendars or select Calendars > Gear Icon (Calendar Settings).

Step 2: Start Creating a Calendar

  • Click on Create Calendar.

  • Select the calendar type that aligns with your needs.

Step 3: Enter Meeting Details

  • Fill in essential information, including logo, calendar name, description, custom URL, and meeting title.

  • Choose a calendar group, event color, and other relevant settings.

Step 4: Configure Availability

  • Choose between Standard or Custom availability.

  • Define appointment durations, intervals, buffer times, maximum bookings per slot and per day.

  • Set office hours, recurring appointments, and scheduling notices.

  • Enable options for recurring meetings by selecting frequency, number of occurrences, and how to handle unavailable slots.

  • Save and proceed to the next step.

Timezone Abbreviations for Clearer Appointment Scheduling

Timezone abbreviations make appointment start and end times clearer by showing the exact time zone, reducing confusion. For instance, if your business operates in CST and your client is in PST, times will clearly display as '10:00 am to 10:30 am CST' or '08:00 am to 08:30 am PST'.

How to View: You can see the timezone abbreviations in the Calendar View section.

Forms & Payment Settings:

  • Customize your booking widget by selecting a default or custom form.

  • Pre-populate fields for a smoother user experience.

  • Enable the addition of guests to appointments.

  • Integrate Stripe for payments if required.

Notifications & Additional Options:

  • Set notification preferences for confirmations and updates.

  • Define who receives notifications (contacts, team members, or specific emails).

  • Enable integration with Google Calendar/Outlook for syncing appointments.

Connecting to Other Calendars:

  • Link your Advisor's Growth calendar to external calendars for seamless synchronization.

Widget Customization & Appearance:

  • Choose between Neo or Classic styles for your booking widget.

  • Allow clients to select specific team members for appointments.

  • Enable rescheduling and cancellation options.

Step 5: Save and Activate

  • Click Save to confirm your settings.

  • Remember to click Activate Calendar to make it live.

Adding Guests to Appointments

Advisor's Growth’s "Add Guests" feature makes inviting additional participants easy:

  • While creating or editing a calendar, go to the Forms & Payment section.

  • Toggle on the "Add Guests" feature.

Step 2: Configuration

  • Ensure guests receive notifications about the event.

Detailed Calendar Flows

    • Follow the outlined steps for setup.

    • Customize meeting details, availability, forms, notifications, connections, and widget appearance.

  2. Round Robin Flow:

    • Similar to the simple calendar setup, but without the "Connections" tab.

    • In the Meeting Details tab, configure balanced appointment distribution among team members.

    • Assign team members, set priorities, and specify meeting locations.

    • Additional options include notifying assigned users and assigning contacts to the relevant team members.

  3. Class Booking Flow:

    • Follows similar steps as the simple and round-robin calendars.

    • Only one team member can be added, making it ideal for single-session events.

    • Slightly different from round-robin, tailored for scenarios involving a single team member.

  4. Collective Booking Flow:

    • Similar to round-robin and class booking setups but requires at least two team members.

    • Designed for events needing multiple team members present.

With these comprehensive steps, you can now create and edit calendars efficiently within Advisor's Growth. Whether you’re scheduling meetings, classes, or group events, these features help you manage time effectively.
