How to Manually Grant Access to Memberships

Sometimes, you may need to manually grant access to a membership, such as when migrating from another platform like Advisor's Growth, where you don't want to charge customers who’ve already paid. Follow these steps to grant access manually, ensuring a seamless transition or special access for your members.

Using Workflows to Facilitate Manually Granting Access

Step 1: Set Up the Product

  • Create or Duplicate a Product:

    1. If you need a new product, create one from scratch, or if you want to use an existing membership product, simply duplicate it.

    2. For duplicating, clone the product following standard procedures.

Step 2: Set Up the Offer

  • Create a New Offer:

    1. Link your newly created or duplicated product to the offer. If you need help setting up an offer, refer to other tutorials.

    2. To add your product to an existing offer, click the pencil icon next to the offer and make the necessary adjustments.

    3. Navigate to the offer page, click on the menu dots, and select Checkout.

    4. Copy the link from the checkout page and save it for later use.

Step 3: Create a Tag for Identification

  • Create a New Tag:

    1. Go to the Tags section and create a tag, such as “Offer A - Free Membership Access”.

    2. This tag will be used to identify and trigger the workflow for granting access.

Step 4: Set Up a Workflow Trigger for the Offer

  • Use the Contact Tag Trigger:

    1. Add the Contact Tag trigger to the workflow and filter for the newly created tag. Save the trigger.

    2. Add the Membership Grant Offer action to automatically grant the offer and associated product to the contact.

    3. Publish and save the workflow.

  • Optional: Membership First Signup Trigger:

    1. If login credentials are not required (e.g., the user already has access), you can add the Offer Access Granted trigger in a secondary workflow.

    2. Otherwise, use the Membership New Signup trigger, which will generate and send login credentials.

  • Workflow 1:

    1. Trigger: Contact Tag.

    2. Action: Membership Grant Offer to provide access to the offer and product.

  • Workflow 2:

    1. Trigger: Membership New Signup.

    2. Action: Send Email with login credentials, using either a pre-made template or custom values within the workflow email builder.

Step 5: Add the Tag to Grant Access

  • Assign the Tag to Contacts:

    1. To manually grant the offer to one or more contacts, add the previously created tag in the contact area.

    2. You can apply the tag while importing a list or directly to existing contact records.

Important Notes:

  • Membership New Signup indicates that the contact took an action (e.g., filled out a form, made a purchase) or that it’s the first time an offer is being granted.

  • Offer Access Granted suggests the action was done by you or a workflow after the initial offer was granted.

  • If you manually grant access from the contact page, ensure that the relevant email templates are enabled under Membership > Settings > Email Settings. Otherwise, use a magic link or password reset to ensure credentials are sent correctly.
