Creating and Editing Smart Lists

Smart Lists are an essential tool for efficiently organizing and managing your contacts in your CRM. They offer a flexible way to sort and keep your contact data current. Here’s a step-by-step guide to help you create and manage Smart Lists effortlessly.

Creating a Smart List

  1. Accessing Smart Lists:

    • Go to the 'Contacts' section in your CRM.

    • Click on 'Smart Lists'.

  1. Applying Filters:

    • Select ‘More Filters’ to access a range of filtering options that help you refine your list.

  1. Choosing Filters:

    • Filter Variety: You can select from a range of filters, including basic options like inactive contacts or more detailed ones like tags.

    • Easy Selection: Filters are organized for straightforward navigation. For instance, if you use the "Created By Filter," search for it, then choose whether you want 'is' or 'is not', and select a user.

  1. Reviewing and Adjusting Filters:

    • Preview Filters: Your selected filters will be displayed on the right side for easy review.

    • Add More Filters: Click “AND” to include additional filters as needed.

  1. Saving Your Smart List:

    • Finalize: Once you’ve configured your filters to your satisfaction, click “Save as smart list” to create your list.

    • Ready to Use: Your Smart List is now saved and ready for use.

Using Smart Lists in Your CRM

  1. Accessing Your Lists:

    • In the 'Contacts' section, your Smart Lists will be clearly labeled. Click on any list to view its details.

  1. Editing and Managing Lists:

    • Edit or Delete: You can easily modify or remove any Smart List. Select the list and adjust the filters as needed.

Advanced Features

  1. Managing Smart Lists:

    • In the top right corner of the Contacts page, manage your lists by copying, sharing, renaming, or deleting them.

  2. Advanced Filters:

    • Created By Filter: Filter contacts based on the user who created them.

    • Last Updated By Filter: Find contacts based on the last user who updated them.

    • Inbound DND (Do Not Disturb) Settings Filter: Filter based on inbound DND status.

    • DND Settings Filter: Search for contacts based on outbound DND preferences.

    • Website Filter: Filter by the associated website.

    • Instagram ID Filter: Filter contacts with or without an Instagram ID.

    • Facebook ID Filter: Search based on Facebook ID presence.

    • Country Filter: Filter contacts by their country.

    • Timezone Filter: Find contacts by timezone, useful for scheduling.

    • Google ID Filter: Search for contacts with or without a Google ID.

    • Additional Email Filter: Include contacts based on additional email addresses.

    • Last Activity Time Filter: Search contacts based on the last recorded activity.

    • Valid Email Filter: Filter based on email validation status.

    • Source Type Filter: Filter by the source type field value.

Along with these filters, additional columns for phone numbers, emails, time zones, countries, and websites have been integrated into the Smart List table and contact export options.
