Managing multiple phone numbers for each contact is streamlined with the 'Additional Phones' feature. Whether you're importing new contact data or exporting existing information, this guide will help you handle the process efficiently.

How to Import Contacts with Multiple Phone Numbers

  1. Navigate to Import Contacts:

    • Go to the 'Contacts' section in your CRM.

    • Click on the Import Contacts icon.

  1. Upload Your File:

    • A window will appear where you can upload a .csv file (maximum size: 50MB).

    • After uploading, click 'Next'.

  1. Map Your Fields:

    • On the next page, align the fields from your .csv file with the system fields.

    • Locate the system field labeled "Additional Phones". Use this to map secondary and additional numbers.

    • Ensure that multiple numbers in a single column are separated by commas (,), slashes (/), or semicolons (;).

    • Map these numbers to the Additional Phones field.

    • Confirm your field mapping. Optionally, choose not to import data from columns that don’t match.

    • Click 'Next'.

  1. Finalize Import Settings:

    • Name your import and decide if you want to create a smart list from it.

    • Using the Advanced dropdown, select how to manage contact records (add new, update existing, or both).

    • Choose primary and secondary criteria to identify existing contacts.

    • Optionally, add tags or integrate new contacts into a specific workflow or campaign.

    • Click 'Submit' to start the import.

Important Considerations During Import:

  • Contacts are considered unique based on both primary and additional phone numbers.

  • Duplicate numbers within the Additional Phones field are excluded from import.

  • Invalid numbers in the Additional Phones field are removed, and only valid ones are retained.

  • If the primary phone field in the CSV is blank but additional numbers are present, the first additional number is used as the primary.

  • Updates to contacts will merge new phone numbers with existing data.

  • The Additional Phones field supports up to 10 numbers, and only the first 10 are used if there are more.

How to Export Contacts with Multiple Phone Numbers

  1. Initiate the Export:

    • Go to the Contact Export section in your CRM.

    • If the phone option is selected in the smart list column, "Additional Phones" will be included in the exported CSV.

  2. Export Details:

    • The Additional Phones column in the exported CSV will contain all secondary numbers, separated by commas (,).

The 'Additional Phones' feature enhances the management of large datasets by allowing precise handling of multiple phone numbers. Whether you're bulk importing or exporting, this process ensures accurate and comprehensive contact management.
